Privacy Policy
This Privacy Policy explains how DiamondKeeper LLC (“DiamondKeeper,” “we,” “us”) collects, uses, and protects information when you use the DiamondKeeper app and website (the “Service”). By using the Service, you agree to this Policy.
1. Who uses DiamondKeeper
DiamondKeeper is a team management and scorekeeping app for baseball teams. Our users include coaches, team administrators, parents, and players. Some players are children. We have designed this Policy with their privacy in mind (see “Children’s Privacy” below).
2. Information we collect
We collect only what we need to run a team:
- Account information: name, email, password, and role (coach, admin, parent, or player).
- Team and player information entered by coaches, admins, or parents: player names, jersey numbers, positions, statistics, attendance, schedules, and team messages.
- Photos and video that team members choose to upload.
- Payment information, if you purchase a subscription (processed by our payment provider — see “How we share”). We do not store full card numbers.
- Usage and device information: app activity, device type, and basic technical data used to keep the Service reliable and secure.
3. How we use information
We use information to provide and improve the Service: to create and manage accounts and teams, run scoring and stats, deliver schedules and notifications, enable team communication, process subscriptions, provide support, keep the Service secure, and comply with law.
We do not sell personal information, and we do not use children’s information to show them targeted advertising.
4. Children’s Privacy (COPPA)
Protecting children’s information is central to DiamondKeeper. The U.S. Children’s Online Privacy Protection Act (COPPA) applies to personal information about players under 13, and we handle it carefully:
- Children do not create their own accounts. Information about a child player is entered by a coach, team administrator, or parent who is responsible for the team and confirms they have authority and any required parental consent to provide it.
- We collect only the child information needed to run the team (such as name, stats, schedule, and team content), and we use it only for that purpose.
- We do not sell children’s information, and we do not serve behavioral/targeted advertising to children.
- Parents may review, correct, or request deletion of their child’s information, and may refuse further collection, by contacting us at jpgerencser@gmail.com.
- Coaches and admins are responsible for obtaining parental permission before adding a child’s information, including photos or video.
5. Photos and video
Team members may upload photos and video. Anyone uploading content of a minor confirms they have permission from that player’s parent or guardian. Parents may ask us to remove content of their child at any time.
6. How we share information
We share information only as needed to run the Service:
- Within your team or organization: team members see the information appropriate to their role (for example, parents see their own player and team-level information).
- Service providers: trusted vendors who host our data, process payments, or help us operate the Service, under obligations to protect it.
- Legal and safety: when required by law or to protect rights, safety, and the integrity of the Service.
We do not sell your personal information to anyone.
7. Data retention
We keep information for as long as your account or team is active and as needed to provide the Service, then delete or anonymize it within a reasonable period, unless we must keep it to meet legal obligations.
8. Security
We use reasonable technical and organizational measures to protect information. No system is perfectly secure, but we work to safeguard your data and to back it up so it is not lost.
9. Your choices and rights
You may access, update, or delete your account information in the app or by contacting us. Parents may exercise their children’s rights as described above. To delete your account or request deletion of information, contact jpgerencser@gmail.com. Depending on where you live, you may have additional rights under applicable privacy laws.
10. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will notify you in the app or by email and update the “Effective date” above.
